Processing of (personal) data by the entity in charge of the online application process

The personal data provided will be processed in accordance with the General Data Protection Regulation (GDPR 2016/679) and will be incorporated into the database of the IGTP located within the European Economic Area. Data Subjects have the right to ask for access to their data, rectification or deletion, or the restriction of the processing, and to object to the processing, as well as the right to data portability. 3. Processing of personal data in the job application process
Personal data is information about the personal or material conditions of an identified or identifiable natural person, such as name, address, telephone number and date of birth, but also data about his or her education, etc., which can be assigned to a specific person with reasonable effort. Any information that does not serve to determine directly or indirectly the identity of a person does not constitute personal data.
4. Principles and purposes of the processing of personal data in connection with the receipt of applications and the application process
When submitting an application electronically, i.e. by e-mail or via our web form, the candidate's personal data is collected and processed for the purpose of managing and processing the selection process and implementing the appropriate pre-contractual measures.
By submitting an application via our recruitment page, the candidate explicitly indicates his or her interest in working with us. The personal data you provide in this context will be used and retained exclusively for the purpose of job search and application.
In particular, we will collect the following data:
● Full name
● E-mail address
● Phone number
LinkedIn profile (optional)
● Channel through which you heard about us.
In the course of the selection process, the candidate may also attach relevant documents, such as a cover letter, resume and qualifications, which may also contain personal data such as date of birth, address, etc.
Only authorized employees of the HR department or employees involved in the selection process will have access to your data.
Personal data is stored exclusively for the purpose of filling the vacant position for which you have applied.
The candidate's data will be retained for a period of [number] days after the conclusion of the selection process for the fulfillment of legal obligations or the defense of claims. Subsequently, we are obliged to delete or anonymize your data. Thereafter, the data will only be available as metadata without direct personal reference for statistical purposes (e.g., percentage of women and men in applications received, number of applications per period, etc.).
In addition, we reserve the right to store the candidate's data for inclusion in our talent pool for [number] days after the end of the selection process, in order to identify any other positions that may be of interest to the candidate. This also applies, for example, to applications for training or internship positions. By accepting the privacy policy, the candidate expressly consents to the possible retention of his or her data for a longer period and their inclusion in our talent pool.
If in the course of the selection process the candidate receives a contract proposal and accepts it, the personal data collected during the selection process will be retained at least for the duration of the employment relationship.
5. Transfer of data to third parties
The data provided as part of the application is transmitted via TLS encryption and stored in a database. This database is operated by Personio GmbH, which distributes an applicant and human resources management software ( https://www.personio.es/legal-notice/ ). In this context, Personio is our processor in accordance with the provisions of Article 28 of the GDPR. The basis for the processing is the execution of the data processing agreement (DPA) concluded between us, as the data controller, and Personio.
6. Rights of the data subject
Insofar as we, as the responsible body, process personal data, the applicant, as a data subject, is entitled to certain rights set out in Chapter III of the GDPR, depending on the legal basis and the purposes of the processing for which they are intended, namely the right of access (Article 15 of the GDPR), the right of rectification (Article 16 of the GDPR), the right of erasure (Article 17 of the GDPR), the right to restriction of processing (Article 18 of the GDPR), the right to data portability (Article 20 of the GDPR) and the right to object (Article 21 of the GDPR). Provided that the processing of personal data is based on your consent, pursuant to Article 7(3) of the GDPR, you have the right to withdraw such consent at any time.
To exercise your rights as a data subject in relation to the processing of data during the online application process, you should contact the Data Protection Officer (see point 2).
7. Final Provisions
We reserve the right to change this data protection declaration at any time in order to comply with current legal requirements or to reflect changes made in the job application procedure or other similar processes. In such a case, if the candidate re-visits this recruitment page or applies, the new data protection declaration will apply to him or her.
